What Determines The Price Of An Exhibition Stand / Stall

In the last many years that I have been in this industry, I have found this to be the most tricky of all questions that I get asked by my clients. The reason is, there is no one specific factor that determines price. Price is determined by so many factors, to varying degrees depending on the specific conditions of the exhibition, that it becomes extremely difficult, even for experts, to determine an exact price for an exhibition stand!!

At first glance, it would appear as if the price of a stand is the sum of the price paid for the raw materials and the labour that needs to be used to put it all together and sundry other insignificant factors. But really that is not so. There are a lot of factors that are not easily visible to people who are not actively associated with stand building in exhibitions. And these factors can have very significant effects on the overall price of the stand!!

One factor is the location of the exhibition. Is it in India? If so, then in what city? Or is it in some European country? How many exhibitions does that city hold in a year, also effects the price of a stall!! Because that determines how conducive the environment there is for building an exhibition stand. That is so, because if a lot of exhibitions are held there, then obviously, better infrastructure would have come up to aid exhibition stand building. And that can reduce the cost somewhat.

Then again, an important factor is the timing of the exhibition. Sometimes when an exhibition is being held in a very busy period, the cost of building a stall can go up. This is so because all contractors and stand builders become very busy and then they have to hire extra people to look after increased demand. Naturally, that means increased costs for them and automatically for you.

Another very important factor is the time left for the fair, when the stand design is finalized and the purchase order is issued. The more time there is for the fair, the better planning can go into stand construction and that can reduce costs. Even otherwise, stand builders are more game to reducing prices when they still have a lot of time on their hands, than when they have their backs pushed to the wall in terms of deadlines.

Exhibition Booth/Stand Design

Once a decision has been taken with regards to what exhibition to participate in, the next big step is to think about how to make your participation a success. A major factor that goes into deciding whether or not the exhibition will be a success for you, is the design of your booth or stand.

Lets look at it from the visitors point of view. When a visitor comes to an exhibition, and is looking to do some serious business, he is confronted with a situation where he gets to see thousands of exhibitors, all selling the same or similar products/services, and all exhibiting in the same area spread usually over a few thousand square feet for three or four or five days!! Now it is not humanly possible for anybody to visit all stands and talk to all exhibitors to strike the best possible deal in those three days. There are some exhibitors that the visitor already knows about before going to the exhibition, and those he is definitely going to visit. When he is through with those meetings, then he takes a walk through the various halls, looking at the other stands around him, deciding on the spur of the moment which booth he wants to go into and what exhibitor he wants to talk to.

It is here that the design of the stand comes into play. Unless a stall is designed to stand out, to grab the visitors' attention and to tell the visitor exactly what he can expect form it without telling him too much, nobody would want to enter it. After all, the visitor has already tired himself out, walking through all these halls, talking to so many exhibitors and looking at so many products. Now he can do without spending time at another booth that does not sell what he wants to buy!!

Participating in an exhibition can be such a tiresome job. But does it really have to be so confusing?? Unfortunately that is exactly what most participants in any exhibition make it. Before a decision with regard to which exhibition, in what part of the world and at what point of time is taken, a participant needs to understand his reasons for participating in an exhibition in the first place.
