Design Inspirations for Exhibition Stands

Over the past few months that I have used the internet as a virtual library, a constant source of creative energy and inspiration for ideas and thoughts, I have experienced what should have been the first lesson to be taught in any design school; that design is not so much about creating various myriad shapes in lots of colors, shades and hues that fill up an entire space that lies at our disposal, as it is about creating an ambience, an environment that effectively conveys an idea or an image that the client wants to project, without in any way interfering with the existence of that idea or that image. Design is not so much the painting that we see and appreciate, it is the canvas that is painted upon, it is the colors that are splashed across the canvas, it is the brushes and the palettes that are nowhere to be seen by the time the painting is hanging in the gallery!!

More so when we talk about exhibition stand design. When we sit down to design a stall for a client, for a fair that he is participating in, the first very strong urge is to put in some elements in very eye-catching shapes and colors. When a presentation is made before the client, it is these shapes and colors that stand out and help sell the design. Unfortunately these very shapes, forms and colors, sometimes interfere with the display and instead of making the display more powerful and eyecatching, which should be the primary aim of exhibition stand design, they stand out in direct competition and conflict with the display itself!!

I am posting below some pictures that I have come across over the net, that, in spite of their simplicity and their apparent lack of any flambouyance, are very powerful and eye-catching and very effective in their primary aim; to enhance the quality of display.

Our Work at the EPCH October 2011 Fair

The Indian Handicrafts & Gifts Fair, or the IHGF in short, is organised twice every year by the Export Promotion Council for Handicrafts (EPCH), in the Indian Exposition Centre and Mart, Greater Noida. It is India's premiere show for handicraft producers and exporters.

Designing and fabricating stalls / stands / booths in this fair is, naturally, a very tricky and difficult job, because clients have such a great and unwavering eye for detail and perfection that the smallest of mistakes or the slightest of slipups, can become the cause of a major controversy. The other major problem while designing stands for the Handicrafts Fair, is the highly variable shape and size of the exhibits and their sheer numbers. But, in spite of all problems, and all difficulties, designing booths for the IHGF is a pleasure and a designers' dream, simply because it opens up so many avenues to explore ones' creativity and design abilities.

We are therefore thrilled and excited everytime we are through with the design and fabrication of stalls for the Indian Handicrafts and Gifts Fair and a nod of approval and appreciation from our clients is, even today after almost thirteen years of designing stands for the handicrafts fair, worth more than a million bucks!!

A Focus on Display!!

As I prepare for the exhibition season ahead, and I pour through various books and journals and websites, looking for newer design ideas, I cannot help but notice, how the more things change, the more they remain the same!! Design today, is just as based on principles as it was 5, 10 or 15 years back, and on the same principles too.

One of the most enduring principles of design, whether it be exhibition, retail, residential or commercial or any other type of space, has been to create a focus ..... a point that the whole space tends to converge to. It is a point in space that holds your gaze and attracts you to itself by grabbing your attention in a big way. Although, it is as relevant in a residential as in a commercial or any other space, it is even more relevant when we talk about retail and especially exhibition space.

In any exhibition, the exhibiting companies, try to showcase their entire range of products, in all their colours and variants. This tends to cramp up the space, and a person, a potential buyer, entering the stand / stall, is unable to locate the one thing that he needs in all the mess, even though it is right in front of his eyes. It is here that the focal point comes into play. It gives a relief to the eyes, and slows down the speed at which the visitor sweeps the space around him.

A focal wall or a focal display is a very important element in exhibition stand design / exhibition stall design. It has the ability to tell the visitor the theme of the display, or the company policy, or the high point of the product, in a very subtle and understated, yet in a very powerful way.

I know I havent updated my blog in quite some time, but it has really been a very busy month for me. With so many upcoming exhibitions in all parts of the world, and with so many enquiries, time flew by without my even noticing it!! But I am happy. It has all been very fruitful and enriching.

Exhibition Booth Design

Exhibition Booth Design, is really no different from any other design problem or project. It follows the same principles of form, space and aesthetics. Although, the scale is smaller as compared to lets say an average office interior or a small sized residential design, the design itself is more often than not, much more extravagant. But the principles still remain the same.

The only extra constraint that comes into play is the time factor. Exhibitions, the world over, offer very tight time schedules for set up of the booth. With normally, just two to three days to set up the entire stand, sometimes even a small stand becomes a pain in the you-know-what!! When one considers the Indian exhibition industry, this can prove to be a very important factor when designing and constructing a stand. After all, one would not want to design a stand that is so complex, that fabricating and setting it up is a complex and time-intensive process. The reference to the Indian exhibition industry, is by virtue of the fact that in India, the actual time of handover of the stand space to the stand constructor by the fair organizers, is very different from what is communicated to the participant. Often it is delayed by six to twelve hours, sometimes even more. and believe me, that can be

The Right Time To Plan

When I talk to prospective clients about their booth design, a question that keeps cropping up from the clients' side, in various avatars, is "can we take a decision on this next week?" or "whats the hurry?".

Think about it, and the answer is not very difficult to understand. The more time the stand designer has, the better the planning that can go into designing and fabricating it. Also, costs can be reduced and mishaps avoided. The best part, from the participants' perspective is, the earlier he decides and finalizes things, the more the designer will be game to bargaining and reducing prices, to even the extent of slashing his margins!!!

Meaning a better designed stand, with a better finish and better chances of a timely delivery, at a lower price!! Best of both the worlds, or should I say, best of all the worlds!!

What Determines The Price Of An Exhibition Stand / Stall

In the last many years that I have been in this industry, I have found this to be the most tricky of all questions that I get asked by my clients. The reason is, there is no one specific factor that determines price. Price is determined by so many factors, to varying degrees depending on the specific conditions of the exhibition, that it becomes extremely difficult, even for experts, to determine an exact price for an exhibition stand!!

At first glance, it would appear as if the price of a stand is the sum of the price paid for the raw materials and the labour that needs to be used to put it all together and sundry other insignificant factors. But really that is not so. There are a lot of factors that are not easily visible to people who are not actively associated with stand building in exhibitions. And these factors can have very significant effects on the overall price of the stand!!

One factor is the location of the exhibition. Is it in India? If so, then in what city? Or is it in some European country? How many exhibitions does that city hold in a year, also effects the price of a stall!! Because that determines how conducive the environment there is for building an exhibition stand. That is so, because if a lot of exhibitions are held there, then obviously, better infrastructure would have come up to aid exhibition stand building. And that can reduce the cost somewhat.

Then again, an important factor is the timing of the exhibition. Sometimes when an exhibition is being held in a very busy period, the cost of building a stall can go up. This is so because all contractors and stand builders become very busy and then they have to hire extra people to look after increased demand. Naturally, that means increased costs for them and automatically for you.

Another very important factor is the time left for the fair, when the stand design is finalized and the purchase order is issued. The more time there is for the fair, the better planning can go into stand construction and that can reduce costs. Even otherwise, stand builders are more game to reducing prices when they still have a lot of time on their hands, than when they have their backs pushed to the wall in terms of deadlines.

Exhibition Booth/Stand Design

Once a decision has been taken with regards to what exhibition to participate in, the next big step is to think about how to make your participation a success. A major factor that goes into deciding whether or not the exhibition will be a success for you, is the design of your booth or stand.

Lets look at it from the visitors point of view. When a visitor comes to an exhibition, and is looking to do some serious business, he is confronted with a situation where he gets to see thousands of exhibitors, all selling the same or similar products/services, and all exhibiting in the same area spread usually over a few thousand square feet for three or four or five days!! Now it is not humanly possible for anybody to visit all stands and talk to all exhibitors to strike the best possible deal in those three days. There are some exhibitors that the visitor already knows about before going to the exhibition, and those he is definitely going to visit. When he is through with those meetings, then he takes a walk through the various halls, looking at the other stands around him, deciding on the spur of the moment which booth he wants to go into and what exhibitor he wants to talk to.

It is here that the design of the stand comes into play. Unless a stall is designed to stand out, to grab the visitors' attention and to tell the visitor exactly what he can expect form it without telling him too much, nobody would want to enter it. After all, the visitor has already tired himself out, walking through all these halls, talking to so many exhibitors and looking at so many products. Now he can do without spending time at another booth that does not sell what he wants to buy!!
